Real estate lead scoring: project fit, routing and validation

Define project fit before assigning scores. Use confirmed requirements, budget and purchase timing to prioritize follow-up, then validate the groups against CRM outcomes. A score organizes work; it does not establish purchase intent, prove causation or guarantee sales. Missing information should remain unknown rather than become an automatic rejection.

Define the qualified stage before the score

A qualified lead meets the project criteria agreed by marketing and sales. Record location, unit requirements, stated budget, payment-plan fit and buying timeframe. A form completion, answered call or WhatsApp click alone does not establish that stage.

Keep unknown data separate from confirmed mismatch. A visitor who has not disclosed a budget may need a conversation. Campaign names and repeat page views are context, not evidence of affordability or intent. Give the definition a version so that later comparisons remain interpretable.

BANT groups questions about budget, decision-making role, need and timing. Use it to structure clarification, not as an automatic exclusion rule or proof of purchase intent without a conversation.

An illustrative 100-point model

The following weights are a proposed teaching example, not a validated market benchmark or a client result. They total 100; the weights and any routing threshold must be tested against the project’s own outcomes.

Route to a next action, not just a label

Assign an owner and a next action to each status. Good-fit inquiries need an appropriate sales conversation; incomplete records need clarification. A request for later contact should not receive the same workflow as a request to arrange a viewing.

Set response targets from actual team coverage and working hours. An automated receipt is not a sales conversation. Preserve assignment time, contact attempts and the reason for a status change rather than claiming an unsupported universal ten-second SLA.

  • Project fit confirmed: agree the next sales step.
  • Information missing: ask only what is necessary.
  • Requirements do not match: record a specific reason.
  • No response yet: review attempts before judging fit.

Validate scores against comparable cohorts

Compare leads registered in the same period with similar follow-up time. Inspect contact, viewing and contract outcomes by score group and retain the group sizes. Priority routing itself changes how much attention each group receives, so an association is not a causal test.

If higher scores do not correspond to useful progression, revisit definitions, weights and data quality. Avoid fitting a threshold to a handful of contracts and treating it as transferable to every launch or country.

Send verified milestones back to advertising platforms

An internal score is a recommendation; a qualification event requires a recorded business milestone. Map CRM stages to the supported destination event and verify the integration, permitted data use and retry handling before activation.

Google distinguishes qualified and converted leads using offline outcomes. A click or a high score is not a signed contract. Synchronizing the same unchanged CRM stage repeatedly should not create repeated business outcomes.

Prepare an aggregate review before changing spend

Group registrations, contacted leads, project-fit leads, viewings, contracts and rejection reasons by acquisition cohort and campaign. Record the qualification definition used for that cohort.

Use the downloadable review template without personal contact records. Compare CPQL and advertising spend per contract with the linked calculator, then decide which problem to investigate before increasing budget.

Frequently asked questions

No. The model is illustrative. Start with clear criteria and statuses; introduce weights only when there is enough outcome data to evaluate them.

Choose the next step for your project review

For a campaign, lead-quality or measurement review, begin with the project objective and aggregate figures for the same period. Deliverables, timing and fees depend on the assessed scope; outcomes are not guaranteed.
